What You'll Do:
- Manage full-cycle recruitment and new hire onboarding, including background studies through MN NETStudy 2.0, orientation, and required in-services.
- Administer payroll processing in coordination with corporate payroll/HRIS systems, maintain accurate timekeeping records, and administer employee benefits programs (health insurance, PTO, retirement plans) as the point of contact for enrollment and questions.
- Maintain personnel files in compliance with state retention requirements and licensure standards, and track completion of mandatory staff training, certifications, and license renewals (e.g., CNA, medication aide, CPR/First Aid).
- Support performance management, including reviews, disciplinary documentation, and terminations, in partnership with the Executive Director, and serve as a resource for employee relations to help foster a positive workplace culture.
- Ensure compliance with MN Department of Labor and Industry, Department of Health, EEOC, FMLA, and Minnesota Paid Leave requirements, and maintain confidentiality of resident and employee information per HIPAA and the Minnesota Health Records Act.
- Serve as a key liaison during state licensing surveys and audits related to personnel and business office records.
- Maintain workers' compensation claims and coordinate with the insurance carrier.
- Assist with general office administration, vendor contracts, and facility purchasing, and participate in the community's management/leadership team.
What You'll Need:
- Associate or bachelor's degree in business administration, HR, accounting, or a related field (or equivalent experience) preferred.
- 2+ years in business office management, HR, payroll, or accounting, ideally in senior living, healthcare, or another regulated industry.
- Working knowledge of Minnesota employment law and assisted living licensure regulations, or willingness to learn quickly.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and payroll/HRIS software.
- Strong attention to detail, discretion, and organizational skills, including the ability to maintain and safeguard confidential information.
- Excellent interpersonal and communication skills for working effectively with residents, families, and staff.
- Leadership qualities, including the ability to organize, direct, and evaluate the work of others while functioning independently.
- Ability to meet deadlines, build effective working relationships, and understand and support organizational policies and government regulations.
- Willingness to perform other duties as assigned by the Executive Director/DON.
- Must be 21 years of age or older.
